Objectives

The primary objective of this tender is for the Road Accident Fund (RAF) to appoint a suitable service provider to provide office space for rental at the RAF Polokwane Cec Office. The rental period is specified as six (6) months, starting from 01 September 2026.

Scope

The scope of the tender includes the provision of office space rental services for the RAF at the Polokwane Cec Office for a duration of six months. The service provider will be responsible for supplying suitable office premises that meet the specified requirements and ensuring the space is ready for use from the commencement date.

Technical Requirements

• The office space must be suitable for operational needs of the RAF.
• The premises should be secure, with controlled access and surveillance systems.
• The space should include lockable cabinets or storage facilities for confidential documents.
• The premises must have fire suppression systems and fire extinguishers.
• The office space should be accessible only to authorized personnel.
• The service provider must implement policies for handling, transporting, and storing confidential and sensitive information securely.
• The provider should have protocols for document retrieval, tracking, and secure transportation.
• Physical security measures must include secure perimeter, locks, alarms, CCTV, and 24/7 security monitoring.
• Compliance with data protection laws and cybersecurity standards is required, including encryption, intrusion detection, and incident response procedures.

Skills Requirements

• Experience in providing office space rental services, preferably within a government or similar environment.
• Knowledge of security protocols for physical and digital document management.
• Ability to implement and maintain physical security measures such as surveillance, access control, and secure storage.
• Understanding of data protection legislation and cybersecurity standards, including encryption and incident management.
• Capacity to develop and enforce policies for handling confidential and sensitive information.
• Proven track record in managing security measures and compliance with relevant regulations.
