Objectives

The primary objective of this tender is to establish a contract for the supply and delivery of labels, ribbons/foils, and boxes used by various health systems and records management across all Western Cape Government Health facilities. The contract aims to ensure a reliable supply chain for these essential items over a period of five (5) years, supporting Clinicom, Pharmacy Systems (JAC/WMS), Primary Healthcare Systems, and Records Management.

Scope

The scope includes:

• Supply and delivery of labels, ribbons/foils, and boxes as specified in the tender documents.
• Delivery to multiple healthcare facilities and storage locations within the Western Cape Province.
• Provision of samples, specifications, and compliance with technical standards.
• Adherence to packaging, labeling, and quality control requirements.
• Participation in sample submission, testing, and inspection processes.
• Provision of related services such as on-site assembly, maintenance, and training if required.

Technical Requirements

The technical requirements encompass:

• Delivery of goods within seven (7) working days of order receipt.
• Samples of labels, ribbons, and boxes must be submitted in accordance with specifications, including quality control labels, anti-fraud markings, and co-branding with the Western Cape Government emblem.
• Labels must include quality indicators, ICN numbers, manufacturing dates, and be printed with specified fonts and logos.
• Ribbons must be packed separately with additional cores and cleaning wipes; boxes must display the Western Cape Government logo and part numbers.
• Sufficient samples must be available for testing and retained during the contract period.
• Packaging must be neat, with clear external labels indicating ICN codes, quantities, job numbers, and manufacturing dates.
• Delivery locations include hospitals and healthcare institutions, with delivery schedules aligned to order requirements.

Skills Requirements

The skills and experience required for bidders include:

• Minimum of three (3) years’ experience in supplying and delivering labels, ribbons/foils, and boxes to healthcare or similar sectors.
• Ability to produce and supply compliant samples and detailed technical specifications.
• Capability to meet delivery deadlines and manage logistics across multiple healthcare facilities.
• Proficiency in quality control, packaging standards, and technical documentation.
• Knowledge of occupational health and safety standards relevant to manufacturing and delivery processes.
• Registration on the Central Supplier Database (CSD) and compliance with tax and B-BBEE requirements.
