Objectives

The primary objective of this tender is to procure bus hire services for the Mayoral Sports Day scheduled for 20 September 2025. The aim is to facilitate transportation for athletes and participants across various clusters and locations, ensuring timely and organized movement to and from event venues.

Scope

The scope includes:

• Provision of buses for multiple clusters, with specified routes and pickup points as detailed in the bus route schedules.
• Transportation of athletes for different sports and activities, including boxing, chess, tennis, dance, swimming, karate, and other sports at designated halls and community centers.
• Coordination of bus routes and schedules to ensure buses arrive at the central sport complex by 07:00 am on the event day.
• Delivery to the specified venues at the uMhlathuze Sport Complex and other designated halls and community centers.

Technical Requirements

The technical requirements include:

• Provision of the specified number of buses per cluster (e.g., 2 buses for Cluster 1, 3 buses for Clusters 2, 3, 5, etc.).
• Adherence to detailed bus routes and schedules as provided in the tender documentation.
• All buses must be at the first pickup points by 07:00 am on the event day.
• Proper signage and coordination with designated bus coordinators for each route.
• Compliance with all statutory and safety regulations, including VAT and other levies.

Skills and Qualification Requirements

Suppliers must meet the following skills and qualification criteria:

• Registration with the Central Suppliers Database (CSD), with a valid CSD number.
• Provision of a Letter of Good Standing from the Compensation Fund or Department of Labour.
• Completion of RFQ forms in black ink; quotations in pencil will be rejected.
• Ability to deliver the specified number of buses as per the detailed routes and schedules.
• Experience in providing transportation services for large-scale events and sports days.
• Compliance with all legal, safety, and statutory requirements related to transport services.
• Signatures on all alterations and the quotation itself to confirm acceptance of conditions and price changes.
