Objectives

The primary objective of this tender is to secure a qualified service provider for the maintenance, servicing, repairs, and supply of air conditioning systems and chiller plant at SABC Mpumalanga for a period of 5 years. The aim is to ensure uninterrupted cooling and air quality support for broadcasting operations, including the supply of new units where existing units fail, to maintain optimal conditions in studios, offices, and broadcasting equipment.

Scope

The scope of work encompasses:

• Servicing, repairs, and supply of air conditioning systems and chiller plant.
• Provision of scheduled preventative maintenance for various equipment including:
• Chiller plant (quarterly service + major maintenance when required)
• Mid-wall split units (quarterly service)
• Cassette units (including OB vans, quarterly service)
• Air curtains (quarterly service)
• Air handling units (quarterly service + major maintenance)
• Water treatment plant/equipment (quarterly)
• Electrical switchgear and control panels (quarterly)
• Reactive maintenance including response to faults and breakdowns.
• Emergency repairs with specified response times.
• Coordination with other contractors for installations and repairs.
• Work to be scheduled within operational hours (08:00-16:30, Monday to Friday).
• Provision of spare parts, materials, and labor as per approved quotes for ad-hoc repairs.

Technical Requirements

The technical requirements include:

• Adherence to manufacturer’s manuals and specifications for maintenance and repairs.
• Quarterly inspections and servicing of all listed equipment, including:
• Chiller plant and associated components
• Air conditioning units (mid-wall, cassette, air curtains, air handling)
• Water treatment systems
• Electrical control panels and switchgear
• Fault detection, leak rectification, and component replacement as needed.
• Maintaining records of temperature, humidity, and system performance.
• Responding to callouts within specified response times:
• Emergency: within 2 hours
• Urgent: within 4 hours
• Ensuring safety, quality workmanship, and minimal disruption to operations.
• Compliance with relevant safety, health, and environmental standards.

Skills Requirements

The successful bidder must demonstrate:

• Minimum of 3 years’ experience in air conditioning maintenance and servicing.
• Provision of reference letters on client letterhead, confirming experience and contract duration (not older than 5 years).
• Qualified technicians with:
• HVAC trade test certificates or equivalent
• Valid gas licenses issued by the Department of Labour
• Technical expertise in handling chillers, HVAC systems, electrical control panels, and water treatment equipment.
• Ability to respond promptly to emergency and scheduled maintenance requests.
• Capacity to work collaboratively with other contractors and SABC staff.
• Strong record-keeping and reporting skills for maintenance activities and fault logs.
