Objectives

The primary objective of this tender is to appoint a service provider to support and maintain the video conferencing system in the Presidency's boardrooms (108, 144, and 145) for a period of three years. The aim is to ensure the operational continuity, security, and technical support of the system throughout the contract duration.

Scope

The scope of work includes:

• Providing technical support and maintenance services, including after-hours and weekend support as needed.
• On-site assistance during VIP meetings to address emergencies.
• Notification from the Presidency at least one day prior to scheduled meetings.
• Supporting firmware, operating systems, and security updates to prevent vulnerabilities.
• Supporting out-of-warranty equipment with quotations required prior to replacement.

The service provider must also deliver reports on system vulnerabilities and mitigation plans, and support the operational and business continuity of the video conferencing systems.

Technical Requirements

• Support and maintenance of video conferencing hardware and software in three designated boardrooms.
• Provision of firmware, OS, and security patches to ensure system security.
• Support for out-of-warranty equipment, including quotations for replacements.
• On-site emergency support during VIP meetings.
• Reporting on vulnerabilities and action plans.
• Adherence to the specified equipment and system configurations as per the Bill of Material (Annexure A).

Skills Requirements

• Proven experience in supporting and maintaining video conferencing systems.
• Technicians must demonstrate:
• 0-1 year experience (points: 0), 2 years (points: 15), 3-4 years (points: 25), 5+ years (points: 40).
• Relevant skills in supporting video conferencing hardware and software.
• Certification in Creston programming (optional, 20 points if available).
• The bidder must attach CVs of technicians and demonstrate relevant experience.
• Security clearance for team members involved in the project.
