Objectives

The primary objective of this tender is to appoint a service provider to deliver advertising services for Johannesburg Water (JW), specifically for advertising vacant executive positions. The aim is to ensure broad visibility of vacancies, attract qualified candidates, and uphold principles of transparency and fairness in recruitment.

Scope

The scope of work includes:

• Placing advertisements in national newspapers, predominantly in The Sunday Times, to advertise JW executive vacancies.
• Providing proof of previous experience in advertising services, specifically for vacancies or official notices.
• Liaising with JW officials and newspaper houses to ensure accurate and timely placement of advertisements.
• Ensuring advertisements are placed in the correct sections, in the appropriate format, and with maximum exposure.
• Managing urgent or ad hoc placements when necessary.
• Maintaining good relationships with newspaper houses and ensuring quick turnaround times.
• Providing digital proofs and tear sheets of advertisements within specified timeframes.

Technical Requirements

The technical requirements include:

• Providing written confirmation from the newspaper/media house as proof of previous experience in advertising vacancies or official notices.
• Placing advertisements in the Sunday Times or equivalent national circulation newspapers, in black and white print media.
• Ensuring advertisements are in the correct format, section, and size as per JW specifications.
• Timely submission of draft advertisements for proofreading and approval within two hours of receipt.
• Submitting quotations for advertisements, following up on approvals, and placing ads before deadlines.
• Confirming placement success by sending tear sheets within 24 hours of publication.
• Providing digital proof of placement within 24 hours of publication.
• Maintaining credit facilities/support with newspaper houses at all times.

Skills Requirements

The service provider must possess:

• Experience in advertising vacancies or official notices in national print media, with verifiable proof.
• Strong communication and liaison skills to coordinate with JW officials and newspaper houses.
• Ability to manage multiple placements efficiently, including urgent ad hoc requests.
• Technical proficiency in preparing and proofreading advertisements.
• Capability to provide timely digital proofs and reports of advertisement placements.
• Good relationship management skills with media houses to ensure maximum exposure and support.
