Objectives

The primary objective of this tender is to establish a 3-year contract for the preventative maintenance, servicing, and repairs of HVAC systems at designated facilities, ensuring reliable operation, compliance with standards, and minimized downtime.

Scope

The scope includes:

• Implementation of preventative maintenance for HVAC systems at Townhill Office Park and other specified sites.
• Responding to unplanned breakdown repairs (corrective maintenance).
• Provision of skilled technical personnel for maintenance and repairs.
• Adherence to specified standards, safety regulations, and contractual obligations over a period of three years, with possible extension.

Technical Requirements

• Maintenance of various HVAC units including split units (mid-wall, cassette, inverter/non-inverter), air supply and extraction systems, and associated ventilation equipment.
• Compliance with CIDB grading of 2 ME or above.
• Provision of qualified and registered technicians (including refrigeration artisans/technicians with relevant trade certificates and SAQCC registration).
• Use of new, unused, and compliant equipment and spare parts, with OEM warranties and certifications.
• Adherence to relevant legislation, standards (SANS, ASHRAE, ISO), and safety regulations.
• Regular inspections, testing, and commissioning of repaired or serviced equipment, with proper documentation.
• Provision of detailed maintenance schedules, reports, and records for all activities.
• Availability of emergency response within specified timeframes (e.g., response within 1 hour for breakdowns).

Skills Requirements

• Qualified HVAC technicians and refrigeration artisans with valid trade certificates and SAQCC registration (Category A or B).
• Experience of at least 5 years in HVAC maintenance and repair, supported by verifiable references and experience letters.
• Proficiency in operating Building Management Systems (BMS) if installed.
• Knowledge of relevant safety, health, and environmental legislation.
• Ability to produce and interpret technical documentation, maintenance manuals, and compliance certificates.
• Competence in troubleshooting, diagnosing faults, and executing repairs efficiently.
• Effective communication skills for reporting, record-keeping, and coordination meetings.
