Objectives

The primary objective of this tender is to appoint a service provider capable of rendering offsite travel management services, specifically focusing on accommodation arrangements for the Eastern Cape Department of Public Works and Infrastructure at the Mt Ayliff Regional Offices. The aim is to facilitate efficient and compliant accommodation booking and management for departmental officials over a period of 12 months.

Scope

The scope encompasses the provision of offsite travel management services related to accommodation for the Eastern Cape Department of Public Works and Infrastructure, specifically for the Mt Ayliff Regional Offices. The services include arranging, managing, and coordinating accommodation bookings for departmental officials and ensuring compliance with relevant policies and standards. The contract duration is set for 12 months, with the possibility of extension or renewal based on performance and departmental requirements.

Technical Requirements

• Provision of accommodation management services aligned with the specifications outlined in the tender document.
• Adherence to the accommodation specifications, including standards for graded hotels, guest houses, and self-catering establishments as detailed in Annexure A.
• Compliance with the maximum allowable rates for accommodation and meals, including provisions for parking and incidental expenses.
• Implementation of a booking and management system that ensures timely reservations, confirmation, and record-keeping.
• Provision of related incidental services such as on-site assembly, maintenance, and training if required.
• Compliance with all relevant policies, including POPIA for data protection and confidentiality.
• Ensuring all accommodation arrangements meet the minimum specifications and quality standards specified in the tender.

Skills Requirements

• Experience in travel and accommodation management, preferably within the public sector or similar governmental agencies.
• Knowledge of the Department of Public Works and Infrastructure policies, standards, and procurement regulations.
• Ability to manage accommodation bookings efficiently, including negotiation with service providers and adherence to budget constraints.
• Proficiency in using management systems and software for booking, record-keeping, and reporting.
• Strong communication and coordination skills to liaise with departmental officials and accommodation providers.
• Understanding of legal and compliance requirements related to travel and accommodation services.
• Capacity to handle data securely in accordance with POPIA regulations.
