Objectives

The primary objective of this tender is to appoint qualified service providers for the supply, installation, and maintenance of office furniture, appliances, and equipment across all City of Ekurhuleni facilities. The contract aims to ensure the provision of durable, high-quality, and locally produced or manufactured office furnishings that meet specified standards, with a focus on supporting local industry and ensuring compliance with relevant procurement regulations.

Scope

The scope encompasses the supply, delivery, installation, and commissioning of a wide range of office furniture, appliances, and equipment, including desks, tables, chairs, shelving units, storage cabinets, and accessories, to all City of Ekurhuleni facilities. The contract covers multiple categories of furniture and equipment, with specified sizes, finishes, and features, to be supplied on an as-and-when-required basis until 30 June 2028. The scope also includes the provision of related accessories, office accessories, and themed furniture for various departments and facilities.

Technical Requirements

• Furniture and equipment must conform to specified dimensions, materials, finishes, and quality standards, including compliance with South African National Standards (SANS).
• All items must be new, of the most recent models, and incorporate recent design improvements.
• Furniture must be made from locally produced or manufactured materials, with a minimum of 85% local content for specified items, and meet the technical specifications outlined in the tender documents.
• Items such as desks, chairs, shelving units, cabinets, and accessories must have appropriate locking mechanisms, adjustable features, and be suitable for high-usage environments like call centers and public spaces.
• Installation must be carried out professionally, with proper site preparation, and within a maximum lead time of 4 weeks from order placement.
• All furniture must be finished in approved colours (e.g., Summer Oak Veneer, Mahogany, Saligna) and include necessary cable management, modesty panels, and other features as specified.
• Suppliers must provide warranties of at least 1 year, with some items warrantied for 3 years, and ensure proper handling, protection, and cleaning during installation.
• Suppliers are responsible for providing all necessary documentation, including compliance certificates, safety data sheets, and quality assurance reports.

Skills and Skills Requirements

• Proven experience in supplying and installing office furniture and related equipment, with references for completed projects of similar scope and complexity.
• Technical expertise in furniture manufacturing, assembly, and installation, with personnel skilled in site setup, electrical and cable management, and quality control.
• Qualified and trained staff capable of handling specialized furniture, including lockable cabinets, themed children’s furniture, and ergonomic chairs.
• Staff must meet health and safety standards, wear branded uniforms, and carry valid work permits where applicable.
• Ability to provide after-sales support, warranties, and maintenance services, including defect rectification within specified defect liability periods.
• Knowledge of local procurement policies, standards, and compliance requirements, including B-BBEE and local content regulations.
• Capacity to manage logistics, timely delivery, and installation across multiple sites within the stipulated lead times.
