Objectives

The primary objective of this tender is to appoint a qualified service provider to supply, install, repair, service, and maintain air conditioning units across municipal properties for a period of 36 months. The goal is to ensure the effective operation and maintenance of air conditioning systems within municipal owned buildings, enhancing comfort and operational efficiency.

Scope

The scope of work includes:

• Supply and installation of new air conditioning units of various sizes (9000 BTU, 12000 BTU, 18000 BTU, 24000 BTU, 36000 BTU, 42000 BTU).
• Repair and maintenance of existing air conditioning units across municipal properties.
• Preparation and submission of signed job cards after each service or repair.
• Provision of emergency and scheduled repair services.
• Travel, labor, and associated costs for servicing and repairs.
• Delivery of services over a 36-month contractual period, with adherence to specified standards and performance levels.

Technical Requirements

The technical requirements include:

• Provision of air conditioning units of specified sizes with proper installation.
• Regular servicing and repairs to ensure units operate efficiently and reliably.
• Preparation of signed job cards post-service for record-keeping and accountability.
• Costing for servicing, repairs, supply, installation, and automation of units, detailed per size and year.
• Provision of emergency response services with specified turnaround times.
• Compliance with safety, quality, and performance standards as outlined in the tender documentation.
• Adherence to the project duration of 36 months with a Service Level Agreement.

Skills and Skills Requirements

The successful bidder must demonstrate:

• Relevant experience in air conditioning repair, servicing, and installation, supported by reference letters and appointment letters.
• Qualified personnel, including certified technicians with SAQCC/SARACCA accreditation or equivalent.
• Ability to prepare and submit signed job cards and detailed reports.
• Technical expertise in handling various air conditioning units and sizes.
• Capacity to provide emergency repair services within specified turnaround times (12-24 hours).
• Competence in cost estimation for servicing, repairs, and new installations.
• Knowledge of health and safety standards, municipal requirements, and contractual obligations.
• Proficiency in documentation, record-keeping, and compliance with procurement policies.
