Objectives

The primary objective of this tender is to secure a service provider capable of providing bus transportation services for the Youth Arts & Culture Program at Durban Playhouse, including the transportation of persons from Newcastle to Durban and back, on a specified date (21 March 2026). The aim is to facilitate smooth, safe, and reliable transport for participants, ensuring compliance with municipal requirements and safety standards.

Scope

The scope encompasses:

• Provision of up to 3 buses with a capacity of approximately 65-75 seated passengers each.
• Transportation services scheduled for a single day (departure and return on 21 March 2026) with no overnight accommodation required.
• Pickup and drop-off at designated locations, with the route and specific logistics to be confirmed.
• Compliance with traffic regulations, municipal traffic officer approval prior to departure, and adherence to safety standards.
• Provision of vehicles that are roadworthy, properly insured, and meet all legal and safety requirements.

Technical Requirements

The technical specifications include:

• Vehicles must be approximately 65-75 seater buses, fully roadworthy, and compliant with traffic and safety regulations.
• Proof of ownership or lease agreement for the buses must be provided.
• Vehicles must pass inspection by the municipal traffic officer before departure.
• Provision of valid roadworthy certificates and insurance documentation.
• Spare parts and maintenance support should be available as per specifications.
• Provision of experienced drivers with valid licenses and adherence to traffic laws.
• Compliance with traffic safety standards, including prior traffic officer approval.

Skills and Experience Requirements

The bidder must demonstrate:

• Relevant experience in providing bus transportation services, particularly for similar events or programs.
• Schedule of similar work experience, including references from previous clients with contact details and scope of work.
• Capacity to manage multiple vehicles and coordinate logistics effectively.
• Knowledge of municipal traffic regulations and safety standards.
• Qualified and licensed drivers with clean driving records.
• Ability to provide timely maintenance and support services.
• Compliance with all legal, safety, and municipal requirements, including submission of necessary certificates and documentation.
