Objectives

The primary objective of this tender is to secure a service provider for a 12-month period to perform comprehensive maintenance and support for access control systems across multiple specified locations in Pretoria and Johannesburg. The aim is to ensure the continuous, reliable operation of access control infrastructure, including hardware such as gate openers, sensors, and related components, thereby enhancing security and operational efficiency.

Scope

The scope encompasses:

• Provision of 12 months of maintenance and support services for access control systems at designated addresses in Pretoria and Johannesburg, including locations such as Albert, Milner, Julius Jeppe, Nicholson, Oliver, Auriga, Lyra, Delphinus, Aquilla, Club, Rigel, Clark, and Dennis Road.
• Maintenance of various hardware components including gate openers, transmitters, receivers, sensors, and associated access control equipment.
• Carrying out scheduled preventative maintenance, repairs, and troubleshooting to ensure optimal system performance.
• Provision of spare parts, consumables, and necessary materials for repairs and maintenance.
• Adherence to technical specifications and standards for safety, quality, and security compliance.
• Coordination with relevant authorities for security clearances and site access where required.

Technical Requirements

The technical scope includes:

• Maintenance of specific hardware such as heavy-duty gate openers, transmitters, receivers, sensors, and control panels, as detailed in the schedule.
• Inspection, testing, and calibration of access control devices to ensure compliance with safety and operational standards.
• Provision of qualified, trained personnel for installation, servicing, and repairs, including security clearance where applicable.
• Use of approved, South African-manufactured, and SABS-certified materials and components.
• Adherence to Occupational Health and Safety regulations during all maintenance activities.
• Implementation of preventative maintenance schedules as per the prescribed service plan.
• Proper documentation of all maintenance activities, including job cards, service sheets, and inventory records.

Skills Requirements

The successful bidder must demonstrate:

• Minimum of 2 years of proven experience in CCTV and access control system maintenance, supported by relevant appointment letters or project references.
• Certification and accreditation, such as a valid PSIRA certificate and CCTV/access control installer certificates.
• Technical competence in handling, repairing, and maintaining access control hardware and electronic security systems.
• Ability to provide trained, competent personnel familiar with security protocols and safety standards.
• Knowledge of South African security regulations, site access procedures, and security clearance processes.
• Capacity to supply quality materials and spare parts that meet national standards and specifications.
• Effective communication skills for coordination with the Department and other stakeholders.
