Objectives

The primary objective of this tender is to appoint a qualified service provider to deliver comprehensive cleaning services at the Amathole District offices, specifically the Amahlathi Area Office and Stutterheim Service Office, for a period of twelve (12) months. The goal is to ensure hygienic, well-maintained, and clean working environments in accordance with the specifications outlined by the Department of Social Development.

Scope

The scope of work includes, but is not limited to:

• Cleaning of offices, entrance halls, toilets, kitchens, passages, and vehicles.
• Gardening services around the offices.
• Waste removal and disposal, including sanitary bins.
• Deep cleaning of carpets and upholstery.
• Cleaning and disinfecting of surfaces, fixtures, and fittings such as desks, light fittings, walls, doors, and windows.
• Cleaning of fire escape stairs and external building surroundings.
• Provision of all necessary cleaning equipment, materials, and consumables.
• Supply of toilet paper and sanitary bins.
• Provision of uniformed cleaning staff with personal protective equipment (PPE).
• Responsibility for refuse removal and waste management on a daily basis.

Technical Requirements

The technical requirements include:

• Provision of all cleaning equipment and consumables, maintained in fully functional and safe condition.
• Adherence to specified cleaning frequencies, including daily, weekly, and periodic deep cleaning tasks.
• Use of approved cleaning chemicals and disinfectants, including disinfecting of toilets, hand basins, and surfaces.
• Proper disposal of waste and sanitary bins, with specified frequencies.
• Verification of office sizes and facilities prior to quotation submission.
• Compliance with health and safety regulations and standards.
• Provision of staff uniforms and PPE, with staff identifiable by company branding.
• Implementation of quality control measures and adherence to service levels outlined in the SLA.

Skills Requirements

The successful service provider and their staff must demonstrate:

• Experience of at least six (6) months in providing cleaning services on a contractual basis, supported by references and proof of previous contracts.
• Knowledge of cleaning best practices, health and safety standards, and environmental considerations.
• Ability to operate cleaning equipment safely and effectively.
• Capacity to provide adequately trained, reliable, and neatly dressed cleaning personnel.
• Understanding of waste management and sanitation protocols.
• Ability to coordinate cleaning schedules with minimal disruption to office operations.
• Competence in maintaining hygiene standards and reporting on service quality.
