Objectives

The primary objective of this tender is to appoint a contractor responsible for cleaning services at Knysna Library, specifically focusing on the roof, forecourt, and windows, over a period of 10 months from 01 September 2026 to 30 June 2027.

Scope of Work

• Bi-monthly removal of debris, fallen leaves, and foreign objects from the roof, gutters, backyard, and flowerbeds.
• Immediate removal of refuse, night soil, human excrement, and litter from the library premises and courtyard.
• Quarterly cleaning of all windows.
• Bi-weekly tending to flower beds, including weeding, watering, and general maintenance.
• Hedge trimming at the entrance and pruning of trees inside and adjacent to the premises as needed.
• Removal of falling leaves, branches, and debris from trees and surrounding areas.
• Sweeping and weed control in courtyards.
• Cleaning of the courtyard and surrounding areas, including removal of bottles, plastic bags, and human waste.
• Provision of all necessary equipment and transport by the service provider.
• Work will be subject to weekly inspections, with work schedules preferably on Mondays and Fridays or as directed.
• All refuse collected must be removed immediately from the site.

Technical Requirements

The contractor must:

• Provide all equipment, tools, and transport necessary for the execution of the scope of work.
• Ensure work is performed in accordance with the specifications and standards set by Knysna Municipality.
• Clean windows once every quarter.
• Remove all refuse, human waste, and debris immediately after collection.
• Maintain work quality through weekly inspections.
• Ensure third-party insurance is in place as a mandatory requirement.
• Adhere to health and safety standards, including compliance with insurance and municipal regulations.

Skills and Experience Requirements

Bidder must demonstrate:

• At least 2 years of experience in cleaning and maintenance services, with relevant references.
• Provision of a company profile, including history and years of experience.
• Ability to supply a list of contactable references for similar work, with a minimum of one reference for roof repairs or cleaning services.
• Knowledge of municipal health and safety regulations and environmental standards.
• Capability to provide proof of tax compliance, B-BBEE status, and registration on the municipal supplier database.
