Objectives

The primary objective of this tender is to appoint a qualified marketing service provider to support and promote the Hessequa Municipality Tourism brand. The selected provider will enhance marketing activities, improve user experiences, and facilitate the procurement of promotional items, events, exhibitions, and related promotional campaigns for a period of 11 months (August 2026 – June 2027). The goal is to create sustainable tourism growth, empower local communities, and ensure effective service delivery aligned with legislative mandates.

Scope

The scope of work includes:

• Supporting and promoting the Hessequa Tourism brand through quality marketing activities.
• Managing the procurement and distribution of promotional items such as branded merchandise, signage, and gifts.
• Organizing and supporting tourism events, exhibitions, and campaigns including Tourism Day Celebrations and competitions.
• Executing social media marketing, influencer collaborations, and magazine advertising.
• Facilitating promotional campaigns, SMS competitions, and booking arrangements for various tourism expos and events.
• Providing advisory services and assistance for tourism campaigns and competitions.
• Delivering promotional items to the Hessequa Tourism Section in Riversdale.

Technical Requirements

The technical requirements encompass:

• Design, procurement, and delivery of various promotional items (e.g., sun care lotions, rusks, fridge magnets, wine, frisbees, stickers, notebooks, sunglasses, water bottles, pens, license disks, shopper bags, eye masks, signage boards).
• Execution of social media marketing campaigns, including influencer visits and content creation (e.g., TikTok videos, blog posts).
• Publication of advertisements in South Magazine and management of SMS competitions with specified budgets.
• Booking and management of outdoor expo stands and other event spaces.
• Advisory and support services for tourism campaigns and competitions.
• Delivery of all promotional items to the designated Hessequa Tourism office.

Skills Requirements

The successful bidder must demonstrate:

• Relevant experience in designing marketing and promotional materials for tourism, events, and exhibitions (minimum 2-9 years experience).
• Qualifications in marketing management, public relations, or graphic design (Bachelor’s degree or equivalent preferred).
• Access to and capability with modern printing hardware and design software, including green technology where applicable.
• Proven track record of executing similar marketing projects, including tourism exhibitions, social media campaigns, and promotional merchandise.
• Ability to provide letters of recommendation from previous clients.
• Capacity to manage logistics, procurement, and delivery of promotional items efficiently.
• Knowledge of local and regional tourism marketing strategies and familiarity with the Hessequa area.
• Compliance with procurement policies, including tax and B-BBEE verification.
