Objectives

The primary objective of this tender is to procure services for the repair and servicing of all air-conditioners within the Ntuzuma Magistrate Court building over a period of three months. The aim is to ensure the HVAC systems are maintained in good operational condition, compliant with safety standards, and to support the court's operational needs.

Scope

The scope of work includes:

• Inspection, servicing, and repair of all air-conditioning units in the building.
• Replacement of faulty components such as fans, motors, controllers, water pumps, PC boards, etc., as needed.
• Carrying out diagnostics, cleaning coils, filters, drains, and electrical checks.
• Providing detailed quotations for repairs, including breakdowns of labor, materials, and transport costs.
• Ensuring HVAC units are left in good working order at the end of the service period.
• Adhering to manufacturer specifications and relevant standards.

Technical Requirements

The technical requirements include:

• Qualified and registered HVAC technicians and artisans, including certified gas practitioners registered with SAQCC Gas.
• Compliance with Occupational Health and Safety Act No. 85 of 1993 and related regulations.
• Provision of a Safety Plan approved by the client before work commencement.
• Inspection and sign-off of the site prior to work, including completion of site inspection forms.
• Use of approved materials and equipment, with warranties or guarantees of at least 6 months on replaced parts and workmanship.
• Adherence to manufacturer specifications and relevant standards for HVAC servicing and repairs.
• Provision of a detailed breakdown of repairs, costs, and timelines in the quotation.
• Compliance with health and safety protocols, including PPE, site safety, and COVID-19 measures.

Skills Requirements

The skills and qualifications required for bidders include:

• Registered HVAC technicians and artisans with relevant trade certificates.
• Certified gas practitioners registered with SAQCC Gas.
• Proven experience in HVAC servicing, repair, and maintenance of similar systems.
• Knowledge of HVAC manufacturer specifications and standards.
• Ability to prepare detailed quotations, breakdowns, and work schedules.
• Understanding of occupational health and safety regulations and COVID-19 safety protocols.
• Capability to manage site inspections, safety plans, and compliance documentation.
• Effective communication skills for coordination with client representatives and site personnel.
