Objectives

The primary objective of this tender is to procure a comprehensive major and minor service for hospital ventilation systems at Bethesda Hospital. The aim is to ensure the longevity, optimal performance, and compliance of hospital ventilation equipment through annual servicing, thereby maintaining a safe and healthy environment for patients and staff.

Scope

The scope of the tender includes:

• Annual servicing of hospital ventilation systems as per attached specifications.
• Servicing of various ventilation equipment across multiple hospital locations, including ceiling vents, wall fans, wall-mounted heaters, air handling units, and other related components.
• Provision of detailed reports post-service, including signed job cards and service documentation.
• Submission of invoices with required documentation for payment processing.
• Adherence to scheduled service dates, with specific focus on June 2026 for scheduled servicing.
• Provision of technical support, including repair quotations for out-of-schedule issues, if necessary.

Technical Requirements

The technical requirements specify that:

• The service must comply with the attached detailed specifications, including standards such as CIDB ME and SABS/SANS approval.
• All equipment must be serviced according to the schedule, with proper documentation and signed job cards.
• The service provider must submit a comprehensive report of the service, including any repairs or out-of-schedule work.
• All materials and spare parts used must meet specified standards and be approved.
• Invoices must be accompanied by detailed reports, signed job cards, and original tax invoices.
• Service providers must ensure compliance with health and safety standards and submit relevant licenses and certifications.

Skills Requirements

The successful bidder must possess:

• Proven experience in hospital ventilation system servicing and maintenance.
• Valid CIDB ME registration and compliance with SABS/SANS standards.
• Qualified technical personnel with expertise in HVAC and ventilation systems.
• Ability to provide detailed technical reports and documentation.
• Knowledge of health and safety regulations applicable to hospital environments.
• Capability to respond promptly to service requests and out-of-schedule repairs.
• Registered on the Central Suppliers Database (CSD) and compliant with tax and licensing requirements.
