Objectives

The primary objective of this tender is to engage a qualified company to provide corporate travel services for the Mandela Bay Development Agency (MBDA) and its managed sites. The services are intended to facilitate travel arrangements for the month of May, with an option to renew for an additional month if required.

Scope

The scope of work includes providing comprehensive travel management services such as:

• Domestic and international air travel bookings, re-issuing tickets, changes, cancellations, refunds, and no-show fees.
• Shuttle services from airports to destinations, charged per kilometer.
• Car hire processing, cancellations, no-shows, and related changes.
• Accommodation bookings, including reservations, cancellations, refunds, and emergency services.
• Visa processing and emergency visa fees per passport.
• Additional services such as voucher requests, flight schedule management, health and directions assistance, and online self-booking tools.

The services are to be delivered for the specified period with potential renewal, adhering to the detailed specifications outlined in the tender documentation.

Technical Requirements

The technical requirements include:

• Bidder must be a member of the Association of South African Travel Agents (ASATA) and provide proof of membership.
• All prices must be exclusive of VAT, with detailed cost breakdowns included in the proposal.
• Pricing should cover services such as air travel, shuttle services, car hire, accommodation, and emergency services, with specific descriptions and cost per traveler or event.
• Service providers must ensure compliance with the Central Supplier Database (CSD) registration and provide relevant documentation.
• Quotes must be submitted via email by the specified deadline, referencing the quote number.
• Pricing and service quality will be evaluated based on the criteria specified, including price and specific goals.

Skills Requirements

The successful bidder must demonstrate:

• Proven experience in managing corporate travel arrangements, including domestic and international bookings.
• Ability to provide comprehensive travel management services efficiently and accurately.
• Knowledge of the South African travel industry, including airline policies, visa procedures, and accommodation options.
• Capability to handle emergency services and after-hours assistance.
• Compliance with all legal, financial, and administrative requirements, including membership in ASATA and proper registration with the Central Supplier Database.
