Objectives

The primary objective of this tender is to procure a service provider to perform monthly disinfection and maintenance of the Reverse Osmosis (RO) system at Dr Pixley Ka Isaka Seme Memorial Hospital. The goal is to ensure the continuous supply of high-quality purified water suitable for medical use, particularly dialysis, by maintaining the RO system in optimal working condition over a period of 24 months.

Scope

The scope includes:

• Monthly service and disinfection of the RO plant, including replacement of filters, membrane cleaning, and system sanitation.
• Maintenance of associated components such as pre-filtration units, booster pumps, and distribution loops.
• Regular testing of water quality, including microbiological and chemical analyses.
• Provision of all necessary spare parts, materials, and technical support for the duration of the contract.
• Site visits, inspections, and reporting as per specifications to ensure system performance and compliance with health standards.

Technical Requirements

The technical specifications include:

• Adherence to the detailed specifications provided by the Department of Health, including the use of approved Make: Marlin RO systems.
• Monthly replacement of water filters, carbon filters, and disinfection of the entire RO system and distribution loop.
• Inspection and calibration of sensors, membranes, and electrical components.
• Disinfection procedures including decal and chemical cleaning of membranes and tanks.
• Monthly microbiological testing (TMA, Yeast & Mould, Endotoxin) and annual chemical testing, with results shared with the hospital.
• Guarantee of system uptime (minimum 99%) and provision of troubleshooting, repairs, and spare parts within specified timeframes.
• Compliance with all relevant health and safety standards, including SAHPRA certification for the RO system.

Skills Requirements

The tender requires bidders to demonstrate:

• Proven experience in servicing and maintaining medical-grade reverse osmosis systems, preferably with references from government health facilities.
• Technicians trained and certified by the original equipment manufacturer (OEM) with proof of training.
• Availability of qualified technical staff within KwaZulu-Natal, capable of providing prompt on-site support (within 24 hours).
• Capability to supply and manage spare parts stock locally, with a commitment to supply parts within 10 days of order.
• Established service and repair facilities in KwaZulu-Natal, with documented track record of system maintenance.
• Ability to provide ongoing technical support, training, and documentation, including service manuals and upgrade options.
