Objectives

The primary objective of this tender is to procure catering resources to support the Knysna Municipality's events and activities, including the Bookclub Championship, English and Afrikaans & isiXhosa Spelling Bee Competitions, and the Prize Giving event. The aim is to ensure the provision of quality catering services and supplies in accordance with specified requirements and standards.

Scope

The scope encompasses the provision of a wide range of catering resources and supplies over multiple weeks and events, including:

• Soft drinks, fruit juices, and bottled water
• Fresh produce such as lettuce, tomatoes, onions, cucumbers, peppers, carrots, spinach, and potatoes
• Condiments, sauces, and spreads (e.g., tomato sauce, BBQ sauce, mayonnaise, sweet chilli, chutney)
• Frozen chicken, fish oil, baked beans, and other canned goods
• Bakery items including white and brown bread loaves
• Disposable utensils, serviettes, and takeaway containers
• Additional items such as sweets, rice, samp, and cooking creamer

The procurement covers multiple weekly deliveries aligned with event schedules, with detailed quantities and descriptions provided in the price schedule.

Technical Requirements

The technical requirements include:

• Provision of specified food and beverage items as per the detailed specifications and price schedule
• Adherence to quality standards for all supplied goods
• Delivery of goods in suitable packaging to prevent damage during transit
• Compliance with municipal and health regulations
• Provision of necessary documentation such as invoices, delivery notes, and certificates
• Availability for an information session and technical inquiries through designated contacts
• Compliance with the Municipality’s procurement policies, including preferential points and local content requirements

Skills and Experience Requirements

Applicants must demonstrate:

• Experience in supplying catering and food resources for large events or similar projects
• Knowledge of food safety, hygiene standards, and municipal health regulations
• Capacity to deliver multiple items across different locations and dates within specified timeframes
• Ability to provide quality assurance and documentation support
• Registered and compliant with relevant regulatory bodies, including tax and BBBEE verification
• Familiarity with municipal procurement processes and adherence to the Preferential Procurement Regulations 2022
