Objectives

The primary objective of this tender is to appoint a service provider capable of performing fleet damage repairs on an 'as and when' basis for Joburg City Theatre. The selected supplier will conduct vehicle inspections, provide damage reports, carry out repairs including bodywork, mechanical, and electronic components, source OEM or equivalent parts, and ensure vehicles are restored to roadworthy condition. The contract duration is 12 months, with repairs initiated as needed, subject to approval and funding availability.

Scope

The scope of work includes:

• Full inspection and evaluation of damaged vehicles
• Preparation of detailed damage and repair reports
• Repair or replacement of body panels, bumpers, fenders, and other components
• Restoration of vehicle bodywork and interior
• Replacement of broken windows, windscreens, mirrors, tires, rims, and wheel caps
• Colour-matching and repainting to match existing paintwork
• Restoration of mechanical and electronic systems affected by damage
• Post-repair diagnostic testing
• Procurement and fitting of OEM or equivalent quality parts
• Ensuring vehicle safety and roadworthiness post-repair
• Providing repair warranties and offering collection/delivery services
• Ability to repair various vehicle types including passenger cars, minibuses, light commercial vehicles, and adhoc fleet vehicles

Technical Requirements

Service providers must demonstrate:

• Minimum 3 years’ experience in automotive body repair and fleet maintenance
• Registration with recognized industry bodies (e.g., RMI)
• Valid Motor Body Repairer grading certificates
• Fully equipped workshop with spray booths, diagnostic tools, and lifting equipment
• Qualified staff including panel beaters, spray painters, and automotive technicians
• Proof of staff certifications and ongoing training
• Valid business registration and tax clearance certificates
• Public liability and garage keeper’s liability insurance
• Compliance with Health and Safety regulations (OHS Act)
• Ability to repair a diverse fleet, including light passenger vehicles, minibuses, and light-duty commercial vehicles
• Effective reporting, communication, and documentation practices

Skills Requirements

The successful bidder must possess:

• Extensive experience in automotive body repairs and fleet management
• Technical expertise in vehicle diagnostics, bodywork, and electronic systems
• Proficiency in sourcing OEM or equivalent parts and ensuring proper fitment
• Strong project management and communication skills to coordinate repairs and updates
• Ability to provide warranties and post-repair support
• Capacity to handle multiple vehicle types and adhoc repair requests efficiently
• Knowledge of safety standards and compliance requirements
