The primary objective of this tender is to procure a single, durable storage cabinet specifically designed for document management in the Principal’s office at Port Shepstone Hospital. Scope

The scope covers the once-off supply, packaging, transportation, and delivery of one three-drawer server unit to the hospital’s Supply Chain Management department. The contract includes all associated costs, delivery during designated operational hours (07:30–15:00), and exclusion of weekends and public holidays. Evaluation follows a structured five-stage process: administrative compliance, delivery capacity verification, specification adherence, price and preference scoring, and potential physical sample assessment.

Technical Requirements

• Configuration: Must feature three central drawers with two doors on each side. All doors require silver handles and must be lockable with provided keys.
• Dimensions: 200 cm (height) × 45 cm (width) × 75 cm (depth).
• Materials & Finish: Constructed from strong wood with a mahogany finish. The top surface must be wooden.
• Packaging: Supplied as a single unit, adequately protected against transit damage.
• Certification: Bidders must attach SABS/SANS proof of certification or equivalent quality documentation.
• Delivery Protocol: Strict adherence to the specified address and operating hours. Late, incomplete, or improperly addressed submissions will be rejected.

• Server Unit: Despite the name, this item is a traditional wooden office storage cabinet, not an IT or data networking device.
• 80/20 Preference System: Evaluations award 80 points for competitive pricing and 20 points exclusively to companies with at least 51% black ownership, aligning with national transformation policies.
• Sample Submission: The top three scoring bidders may be requested to submit physical samples for quality verification. Samples are evaluated against the specification and are non-refundable if retained.
• Mandatory Compliance Documents: Bidders must submit updated CIPC registration, B-BBEE status verification (certificate or sworn affidavit), Central Suppliers Database (CSD) report, and a valid SARS tax clearance certificate. Failure to provide these results in immediate disqualification.
