Objectives

The primary objective of this tender is to appoint a service provider capable of managing the check-in and registration process for delegates attending the GI Awards on 27 November 2025. The provider should ensure a seamless, efficient, and POPIA-compliant registration experience, facilitating faster on-site processing and smooth delegate management from registration to check-out.

Scope

The scope of work includes the full management of the event registration process, encompassing:

• Customization of registration fields to capture essential delegate information such as email, mobile number, and dietary requirements (e.g., Halaal, Vegetarian, Vegan, Gluten-free).
• Implementation of online registration capabilities.
• On-site check-in and check-out procedures.
• Provision of an admin dashboard for event organizers.
• Sending notifications to delegates as needed.

The system should support efficient delegate registration, check-in, and check-out, ensuring a smooth experience for both delegates and event staff.

Technical Requirements

• The registration system must be POPIA-compliant to protect delegate data.
• The system should allow customization of registration fields to suit event needs.
• Support online registration via a user-friendly interface.
• Enable on-site check-in and check-out functionalities.
• Include an admin dashboard for managing registrations and monitoring event progress.
