Objectives

The primary objective of this tender is to appoint a qualified service provider to design, manufacture, install, maintain during the event, and dismantle a custom-designed modular exhibition stand for participation at the WorldSkills South Africa exhibition. The stand should reflect a professional institutional presence, support stakeholder engagement activities, and ensure safety and compliance with venue regulations. Additionally, the stand must be reusable across multiple events, enhance brand visibility, facilitate stakeholder interaction, and incorporate audio-visual elements.

Scope

The scope includes:

• Concept design and layout development
• Technical drawings and 3D visualizations
• Fabrication using an approved modular system (profile-based aluminium or equivalent)
• Transportation to and from the venue
• On-site installation and dismantling
• Electrical and audio-visual integration
• Provision of flooring, lighting, branding, and safety documentation
• Ensuring the stand is structurally sound, fire-retardant, and compliant with safety standards
• Designing the stand with functional zones promoting openness, accessibility, and professional interaction
• Delivering the stand by 6 March 2026 for assembly, with the event scheduled for 8-12 March 2026 at Durban ICC

Technical Requirements

The technical specifications include:

• Use of profile-based modular aluminium system or approved equivalent
• Structural integrity to withstand safety standards and fire-retardant materials
• Inclusion of digital display solutions suitable for ambient lighting and viewing distances
• Electrical work performed by certified personnel, with compliance to South African electrical standards
• Power capacity calculations based on equipment load
• Integrated lighting to enhance visibility and brand presence, with specified color temperatures
• High-quality branding elements aligned with MICT SETA brand guidelines
• Design for reusability across multiple events, with indications of reuse cycles and refurbishment needs
• Provision of safety documentation, health and safety compliance, and valid insurance cover

Skills Requirements

The successful bidder must demonstrate:

• Experience in designing and delivering custom exhibition stands for trade shows, exhibitions, or similar events (minimum of 3 projects)
• Provision of a portfolio of previous work with at least three completed projects
• References from previous clients confirming satisfactory delivery of similar projects (minimum of 3 reference letters)
• Capability to develop a detailed project implementation plan with timelines
• Compliance with health and safety standards for temporary structures, supported by relevant documentation
• Valid insurance coverage for installation and exhibition periods
• Understanding of safety regulations and fire-retardant material use
