Objectives

The primary objective of this tender is to appoint a qualified service provider to render comprehensive travel reservation and management services for the Department of Water and Sanitation's North West Provincial Operations, including the main account and Water Trading Entity, for a period of 36 months. The successful bidder will facilitate efficient travel arrangements, ensuring cost-effectiveness and adherence to departmental requirements.

Scope

The scope of work encompasses providing off-site travel management services, including booking, coordination, and related support functions. The services cover various travel modes such as air travel (domestic, regional, international), car rentals, transfer and shuttle services, accommodation bookings, bus/coach bookings, parking, and after-hours services. Additionally, the scope includes handling conference transaction fees and contributing to cost element breakdowns for pricing adjustments.

Technical Requirements

• Provision of both paper and electronic copies of the pricing schedules, with the paper copy taking precedence in case of discrepancies.
• Completion and submission of all management fee and transactional fee templates, referencing current travel volumes.
• Pricing must be quoted in South African Rands (ZAR), exclusive of VAT, with VAT calculated automatically by the template.
• All spreadsheets are password protected; no modifications or unprotecting are permitted.
• Input cells are highlighted in light green; bidders must complete all these cells without altering other parts of the spreadsheet.
• Pricing should be firm and not indicative, ensuring clarity and commitment.
• Services must commence upon final acceptance, with the bid remaining valid for 120 days.
