Objectives

The primary objective of this tender is to appoint a suitable service provider to undertake maintenance and servicing of the air conditioning system at SABC North West for a period of three (3) years. The service provider will be responsible for ensuring the proper functioning, regular inspection, maintenance, and repair of the air conditioning infrastructure to support the building's ventilation, cooling, and heating needs.

Scope

The scope of work includes:

• Systematic inspection and monitoring of the entire air conditioning system, including chiller machines, AHUs, and associated equipment.
• Performing scheduled and reactive maintenance tasks as per equipment requirements.
• Replacing equipment parts and components when necessary.
• Setting and maintaining system temperatures to specified levels.
• Providing regular reports and updates to the client.
• Responding to call-outs on a 24/7 basis.
• Maintaining machinery in good, clean, and operational condition.
• Advising on new developments and attending meetings with the client.
• Conducting monthly checks such as cleaning drip trays, filters, fans, motors, pumps, checking gas charges, and safety guards.
• Managing equipment including chillers, pumps, air handling units, electrical panels, split units, humidifiers, ducting, and refrigeration units.

Technical Requirements

The technical requirements specify that the service provider must:

• Have at least one (1) trade-tested technician with a minimum of 3 years’ experience in air-conditioning and refrigeration services.
• Possess a CIDB grading of minimum 3ME or higher, with valid certification at the time of closing and award.
• Operate an office within 150 km radius of SABC North West Offices, with proof of address.
• Provide mandatory documents including valid TV licenses, company registration, active directors/members, tax compliance, and CSD registration.
• Ensure compliance with health and safety standards, including the use of safety equipment, permits for work involving hazards, and adherence to emergency procedures.
• Attend meetings and submit reports in formats agreed with the SABC.
• Maintain safety and security protocols, especially as the premises are a National Key Point.

Skills Requirements

• Qualified and trade-tested technician with at least 3 years’ experience in air-conditioning and refrigeration.
• Ability to perform systematic inspections, troubleshooting, and repairs of complex HVAC systems.
• Competence in replacing parts, setting system parameters, and maintaining equipment in optimal condition.
• Strong reporting and communication skills to advise clients and attend meetings.
• Knowledge of health and safety regulations and ability to implement safety procedures on-site.
• Capability to respond promptly to emergency call-outs and perform maintenance on a 24/7 basis.
