Objectives

The primary objective of this tender is to appoint a qualified service provider to service and maintain two Trane chillers (Chiller 1 and 2) at the SABC KZN site over a period of three (3) years. The aim is to ensure optimal operation, prevent wear and tear, and minimize costly unforeseen breakdowns of the chillers, which are critical components of the building's air-cooling system.

Scope

The scope of work includes, but is not limited to:

• Quarterly maintenance visits, including diagnosis, minor adjustments, and minor repairs (major repairs such as dismantling and refrigerant recharging are excluded).
• Recording operating temperatures, pressures, and amperages.
• Re-calibrating safety controls and checking control circuitry and microprocessor operation.
• Inspecting condenser and evaporator tubes for fouling and refrigerant leaks.
• Checking refrigerant charge, tightening fittings, and sampling oil for laboratory analysis.
• Inspecting gauges, capillary tubes, filters, and oil filters.
• Checking loading/unloading systems, diagnostic trips, and system deficiencies.
• Annual major service, including comprehensive checks, calibration, cleaning, and testing of components.
• Provision of a guarantee for parts replacement and workmanship.

Technical Requirements

The technical requirements include:

• Provision of quarterly and annual maintenance services as per the original equipment manufacturer (OEM) specifications.
• Adherence to the detailed scope of services outlined, including specific checks, calibrations, and inspections.
• Laboratory analysis of oil samples twice a year.
• Reporting of system deficiencies after each run.
• Provision of a reasonable guarantee for parts and workmanship.
• Cost breakdown reflecting all direct and indirect costs.
• Contract duration of three years with a validity of 90 days from the closing date.

Skills and Qualification Requirements

Bidder must demonstrate:

• Construction Industry Development Board (CIDB) contractor grading designation of 2EP & 2ME at the time of bid closing and award.
• Proven experience in maintaining Trane chillers over the past 10 years, supported by reference letters on client letterhead with contact details.
• Qualified key personnel with relevant CVs, qualifications, and accreditation, including experience in maintenance and installation of Trane chiller units.
• Technical expertise to carry out detailed diagnostics, repairs, and system checks as specified.
• Laboratory capability for oil analysis.
