Objectives

The primary objective of this tender is to appoint a service provider to deliver cleaning, deep cleaning, pest control, and hygiene services for the Public Protector South Africa (PPSA) at the Durban Provincial Office over a period of three (03) years.

Scope

The scope of work includes:

• Provision of cleaning, deep cleaning, pest control, and hygiene services at the Durban Provincial Office.
• Cleaning of various areas including offices, kitchens, meeting rooms, foyers, open plan offices, security control room, server room, windows, filing rooms, storerooms, toilets, and ablutions.
• Specific service intervals such as daily cleaning of toilets, windows, kitchen areas, and weekly sweeping of parking and walkways.
• Quarterly deep cleaning of surfaces, carpets, tiled areas, and pest control fumigation.
• Provision of consumables, chemicals (SABS/SANS approved), and necessary equipment.
• Adherence to specified cleaning frequencies and standards as detailed in the scope of work.

Technical Requirements

The technical requirements include:

• Compliance with all applicable legislation, standards, and regulations.
• Provision of qualified and experienced personnel for cleaning, pest control, and hygiene services.
• Use of environmentally friendly and approved cleaning chemicals and pest control agents.
• Implementation of a comprehensive service level agreement (SLA) to monitor performance.
• Regular deep cleaning and pest control activities as per the specified intervals (quarterly, weekly, daily).
• Proper disposal of waste and waste management in line with environmental standards.
• Provision of detailed pricing, including VAT, escalations, and consumables.

Skills Requirements

The bidder must demonstrate:

• Experience in providing cleaning, deep cleaning, pest control, and hygiene services, with at least one reference letter from previous clients.
• Knowledge of health and safety standards, including COIDA registration and compliance.
• Registration with relevant industry bodies such as the Cleaning Industrial Board, NCCA, ISSA, or BEECA.
• Ability to supply qualified and trained personnel capable of executing the scope of work effectively.
• Capacity to manage and deliver services within the specified timeframe and quality standards.
• Proficiency in reporting, performance monitoring, and compliance documentation.
