Objectives

The primary objective of this tender is to establish a panel of qualified service providers to deliver professional photography and videography services for Joburg City Theatres (JCT). The services aim to support theatre productions, marketing, digital engagement, archival documentation, and venue promotion across all three theatres: Joburg Theatre, Soweto Theatre, and Roodepoort Theatre. The overarching goal is to ensure high-quality visual content that enhances audience engagement, promotional activities, and institutional documentation, while maintaining operational efficiency and cost-effectiveness.

Scope

The scope encompasses providing comprehensive photography and videography services, including but not limited to:

• Production photography during performances, rehearsals, opening nights, and behind-the-scenes.
• Cast, crew, VIP, stakeholder, and audience photography for promotional and archival purposes.
• Marketing and campaign imagery for print, digital, and social media platforms.
• High-resolution images suitable for various advertising mediums.
• Professional videography for theatre productions, promotional videos, trailers, and advertisements.
• Multi-camera theatre recording, live streaming, and post-production editing.
• Creation of immersive virtual theatre tours, including auditorium walkthroughs and venue showcases.
• Development of virtual seating visualization tools and interactive venue mapping.
• Drone and aerial imaging (where legally permitted).
• Implementation of Fourth Industrial Revolution (4IR) digital solutions such as AI-assisted editing, automated captions, and digital asset management.

The service provider must operate across all three theatres and collaborate with the Marketing Department to integrate services seamlessly. The engagement is on an as-and-when-needed basis over a period of 36 months, with rapid response requirements and immediate delivery of content post-events.

Technical Requirements

The technical specifications for the services include:

• Photography: High-resolution images (minimum 4 megapixels), professionally edited, delivered in print and digital formats, suitable for various promotional mediums.
• Videography: Multi-camera setups, live-stage lighting compatibility, professional sound recording, live switching, and high-quality post-production editing. Deliverables include full recordings, highlights, trailers, and archive masters.
• Virtual Tours & Interactive Content: 360-degree virtual auditorium tours, interactive venue maps, and seat-view previews, optimized for mobile and web platforms.
• Drone & Aerial Imaging: Legally compliant drone operations for capturing theatre precincts and cityscapes.
• Digital & AI Capabilities: AI-assisted editing, automated subtitles, multi-language captioning, content resizing, repurposing for multiple platforms, and digital asset management systems.
• Live Streaming & Broadcast: Stable streaming setup, encoding, internet management, and support for hybrid events and digital broadcasts.

The provider must demonstrate proficiency with modern digital production tools, immersive content creation, and innovative digital solutions aligned with Industry 4.0 standards.

Skills Requirements

The service provider must possess the following skills and capabilities:

• Documented experience in theatre, arts, performance, or creative industry photography and videography.
• Ability to deliver vibrant, artistic, and high-impact visual content.
• Strong interpersonal skills, patience, and capacity to take instructions effectively.
• Creative and diverse thinking aligned with artistic and promotional objectives.
• Knowledge of industry professionals, influencers, and celebrities relevant to theatre and arts sectors.
• Operational team comprising at least 3 skilled staff members, including dedicated videographers and photographers.
• Capability to provide immediate post-event content for social media and promotional use.
• Availability for opening nights, day shows, and events at all three theatres, arriving punctually and staying until the event concludes.
• Proficiency in virtual content development, including 360-degree tours, virtual seat previews, and immersive digital experiences.
• Experience with drone operations, AI-enabled editing, and digital asset management systems.
• Highly professional conduct, flexibility, and responsiveness to short-notice requests.
