Objectives

The primary objective of this tender is to procure a secure, ethical, and fit-for-purpose staff productivity assessment and workforce analytics tool that supports a hybrid working model. The tool aims to enable management to objectively assess staff productivity, outputs, collaboration, and work patterns without intrusive surveillance, thereby enhancing flexibility, productivity, and talent attraction while ensuring accountability and service delivery excellence.

Scope

The scope includes providing an end-to-end solution that encompasses:

• Supply, implementation, configuration, support, and maintenance of the productivity assessment tool.
• Development and delivery of structured training programs for HR practitioners, line managers, supervisors, and system administrators.
• Development of a comprehensive HR Standard Operating Procedure (SOP) governing the use of the tool, aligned with organizational policies, legislation, and ethical principles.
• Integration with existing systems such as Microsoft 365/Teams, HR and payroll systems, and project management tools.
• Support for a balanced productivity framework, including trend analysis, workflow participation, and hybrid work policies.

Technical Requirements

The technical requirements include:

• Support for cloud-based deployment (preferred).
• Support for integration with existing enterprise systems (Microsoft 365/Teams, HR/payroll, project management tools).
• Support for analytics related to productivity, collaboration, and work patterns.
• Development of structured training modules for various user groups.
• Development of an HR SOP aligned with organizational policies, legislation, and ethical standards.
• Compliance with data privacy and ethical AI principles, including POPIA.

Skills Requirements

The successful service provider must demonstrate:

• At least 5 years of experience in implementing similar workforce analytics or productivity assessment systems.
• Capability to develop and deliver training programs tailored for HR practitioners, managers, and administrators.
• Proven ability to develop comprehensive SOPs aligned with organizational policies and legal requirements.
• Experience in system integration with Microsoft 365, HR/payroll, and project management tools.
• Capability to ensure data privacy, security, and adherence to ethical AI principles.
• Ability to provide ongoing support, maintenance, and updates for the deployed solution.
