Objectives

The primary objective of this tender is to appoint a qualified service provider(s) to deliver print media advertisement services and related activities for Metrobus over a period of thirty-six (36) months. The services include placing advertisements in newspapers and other related tasks such as editing, proof-reading, graphic design, printing reports, and potentially other ad hoc media placement activities. The overarching goal is to support Metrobus’s communication and marketing needs in a cost-effective and efficient manner, ensuring timely and professional dissemination of information.

Scope

The scope of work encompasses:

• Provision of print media advertisement placement in specified newspapers including Sowetan, The Star, Sunday World, Sunday Times, City Press, and others.
• Ad hoc services such as editing, graphic design, printing, and related activities as requested by Metrobus.
• Placement of notices, advertisements, and reports across various media outlets on a continuous basis for up to 36 months.
• Delivery of at least two hard copies and a soft copy of tender submissions, with detailed pricing for different newspaper sections and advertisement types.
• Monitoring and reporting on advertisement placements, ensuring compliance with specifications and deadlines.

The successful bidder(s) will be responsible for ensuring advertisements are placed in the specified media outlets, adhering to the required quality and deadlines, and providing related services as needed.

Technical Requirements

The technical requirements include:

• Placement of advertisements in designated newspapers with specified sizes and formats.
• Provision of detailed pricing schedules for classified and main body advertisements, including rates per column centimeter, with VAT included.
• Delivery of advertisements in accordance with the specifications, including proper packaging, marking, and timely submission.
• Provision of graphic design and editing services supported by qualified personnel (e.g., CVs of graphic designers and proof-readers with relevant qualifications).
• Availability of the service provider on a continuous basis for media placement, with the ability to handle varying quantities and urgent requests.
• Compliance with all legal, safety, and quality standards as specified in the tender documentation.

Skills Requirements

The successful service provider(s) must demonstrate:

• Experience in print media advertising, with a minimum of seven (7) years in the industry.
• Provision of relevant references and proof of previous work undertaken in print media advertising.
• Qualified personnel including:
• A Graphic Designer with a National Diploma (NQF Level 6 or higher) and at least five (5) years of relevant experience.
• An Editor/Proof-reader with a National Diploma (NQF Level 6 or higher) and at least five (5) years of relevant experience.
• Capability to customize services to meet Metrobus’s specific requirements, including fleet monitoring solutions and other related media activities.
• Ability to provide timely, professional, and cost-effective services, with a focus on quality and compliance with specifications.
• Capacity to submit detailed documentation, including appointment letters, reference letters, and proof of relevant qualifications and experience.
