Objectives

The primary objective of this tender is to appoint a qualified service provider to deliver comprehensive cleaning and hygiene services at the Chris Hani District Office (Komani) for a period of thirty-six (36) months. The provider will be responsible for ensuring a clean, hygienic, and safe working environment, including pest control, disinfection, provision of cleaning materials, and ancillary services such as tea provision and pest management.

Scope

The scope of work includes, but is not limited to:

• Provision of uninterrupted cleaning and hygiene services at the ECPT offices in Chris Hani District (Komani), including any future premises.
• Cleaning of offices, passages, toilets, kitchens, carpets, windows, and external areas.
• Supply, installation, maintenance, and refilling of ablution and sanitary equipment (e.g., soap dispensers, air fresheners, sanitary bins).
• Deep cleaning, carpet cleaning, wall washing, and window cleaning.
• Pest control and fumigation services on a quarterly basis.
• Provision of tea services as required.
• Disinfection in case of communicable diseases.
• Supply of cleaning materials and equipment, including PPE and safety gear.

Technical Requirements

The technical requirements include:

• Provision of qualified and experienced cleaning staff with proof of compliance.
• Supply of approved cleaning chemicals and materials compliant with SABS standards.
• Provision of necessary cleaning equipment such as vacuum cleaners, mops, buckets, steam cleaners, and pest control tools.
• Adherence to occupational health and safety regulations, including PPE and safety signage.
• Implementation of a pest management program with documented schedules and reports.
• Regular reporting and supervision, including daily monitoring registers and monthly performance reports.
• Compliance with environmental and health standards, including disinfection and waste management.

Skills Requirements

The successful bidder must demonstrate:

• Experience in providing cleaning and hygiene services in office environments, with references for at least three (3) similar projects/contracts completed within the last five (5) years.
• Knowledge of occupational health and safety legislation and standards.
• Ability to supply and manage cleaning equipment and chemicals compliant with SABS standards.
• Qualified supervisory staff with at least one (1) year of relevant experience in managing cleaning services.
• Capability to develop and implement work plans, contingency plans, and quality control mechanisms.
• Proficiency in reporting, record-keeping, and compliance documentation.
• Knowledge of pest control and disinfection procedures, including the use of approved pesticides and disinfectants.
