Objectives

The primary objective of this tender is to appoint a panel of three (3) service providers to deliver comprehensive travel management services to the South African National Biodiversity Institute (SANBI) over a period of sixty (60) months. The aim is to ensure efficient, cost-effective, and seamless travel arrangements that meet SANBI’s operational needs.

Scope

The scope encompasses the provision of end-to-end travel management services, including:

• Travel reservations and bookings (flights, accommodation, car rentals)
• Management of group bookings and complex itineraries
• Negotiation and management of airline fares, accommodation, and rental rates
• Handling of refunds, unused tickets, and special travel requirements
• Provision of after-hours and emergency support
• Implementation of automated booking and reporting systems
• Ensuring compliance with SANBI’s travel policies and cost management strategies

Technical Requirements

The technical criteria for the service providers include:

• Provision of a detailed transition plan for service implementation without disruptions
• References from at least three recent clients of similar size, with documented satisfaction
• Effective management of reservations, group bookings, and negotiated rates
• Cost-effective routing and booking processes, including handling of refunds and special services
• Reliable after-hours and emergency support with documented SOPs
• Clear communication processes linking travelers, coordinators, and the service provider
• Implementation of technology solutions such as GDS, online booking tools, or self-booking platforms
• Integration capability with SANBI’s ERP system and provision of management reports
• Robust account management, quality control, and SLA adherence
• Value-added services and strategic cost-saving initiatives

Skills Requirements

The successful bidders must demonstrate:

• Strong experience in travel management and related services
• Technical proficiency in booking systems and reporting tools
• Ability to manage complex itineraries and group bookings efficiently
• Excellent communication and customer service skills, including after-hours support
• Capacity to implement and maintain negotiated rates and cost-saving strategies
• Effective account management and quality assurance processes
