Objectives

The primary objective of this tender is to upgrade the existing audio-visual (AV) smart technology infrastructure at the IDC Head Office. This includes implementing advanced AV-over-IP solutions, large LED video walls, distributed audio systems, and centralized control platforms to create an immersive, automated, and integrated communication environment. The upgrade aims to enhance the functionality, quality, and user experience of conference facilities, including the Townhall Auditorium and training rooms, ensuring they meet modern standards for collaboration and presentation.

Scope

The scope of work encompasses:

• Uninstallation of obsolete AV systems and cables, with handover to IDC for storage.
• Supply, installation, programming, and integration of new AV equipment compatible with existing infrastructure.
• Implementation of AV-over-IP solutions, including large LED video walls, ceiling-mounted cameras with speaker-tracking, and hybrid video collaboration units compatible with platforms like Zoom, Teams, Google Meet, etc.
• Provision of centralized control systems for seamless operation.
• Support and maintenance, including extended warranties, technical training for IDC staff, and comprehensive documentation.
• Compliance with occupational health and safety regulations during installation.
• Support for a project timeline of approximately two months for installation, with a support period of five years post-installation.

Technical Requirements

The technical specifications include:

• AV-over-IP technology for high-impact visuals and distributed audio.
• Large LED video walls with specific pixel resolutions and modular configurations.
• Advanced audio systems with ceiling-mounted line array speakers, microphones, amplifiers, and digital signal processors.
• Integration of ceiling-mounted and tracking cameras for audience and presenter framing.
• Hybrid video collaboration units compatible with multiple third-party platforms.
• Control systems such as AMX and digital signal processors (e.g., BSS Harman).
• Support for wireless projection and remote management.
• Compliance with health and safety standards and registration of AV assets under IDC ownership.

Skills Requirements

The bidder must demonstrate:

• Relevant experience in supplying, installing, programming, and integrating advanced AV solutions, with at least three contactable references from the past five years.
• Qualified key personnel with appropriate certifications and a minimum of five years’ experience in AV-over-IP systems, technical support, and project management.
• Proven ability to develop detailed project plans with clear timelines and milestones.
• Capability to provide comprehensive product training to IDC staff and deliver detailed as-built documentation.
• Experience in health and safety compliance during AV installations.
• Ability to support hardware warranties, extended warranty options, and post-installation technical support for five years.
