Objectives

The primary objective of this tender is to solicit quotations from suitable, qualified, and registered service providers for the supply and delivery of office consumables and equipment on an as-and-when-required basis. The aim is to establish a reliable supplier for the Johannesburg Tourism Company to ensure the availability of essential office supplies without the need for continuous procurement processes.

Scope

The scope encompasses the provision of a wide range of office consumables and equipment, including but not limited to:

• Grocery items such as teas, coffee, sugar, biscuits, and chocolates
• Refreshments including various canned drinks and bottled water
• Cleaning materials like liquids, bleach, and cleaning cloths
• Crockery and cutlery, including porcelain bowls, glasses, and ceramic ware
• Office stationery and miscellaneous items as detailed in the specifications

The supply is to be on an as-and-when-required basis for a period not exceeding six months, with delivery to specified Johannesburg locations.

Technical Requirements

The technical requirements include:

• Provision of all items as per the detailed line items and specifications provided in the tender documentation
• Items must be of good quality, not expiring within one year of delivery, and must meet specified standards (e.g., SABS approval for water)
• All prices must be inclusive of delivery charges and applicable taxes, including VAT
• Suppliers must supply goods that are suitable for office use, durable, and safe for handling and consumption
• Delivery must be made to the designated address within the agreed timeframe, with off-loading labor provided by the supplier
• Pricing must be firm and fixed, with no price increases or adjustments considered during the contract period
• Suppliers must be registered on the Central Supplier Database and hold valid tax clearance certificates

Skills and Qualification Requirements

Suppliers must demonstrate:

• Registration as a qualified and registered service provider with relevant authorities
• Experience in supplying office consumables and equipment of similar scope and scale
• Ability to meet technical specifications and quality standards specified in the tender
• Capacity to deliver goods on short notice and maintain consistent supply over the contract period
• Compliance with legal and tax requirements, including valid tax clearance certificates and BBBEE certification for empowerment points
• Understanding of procurement procedures and adherence to the conditions outlined in the tender documentation
