Tender Summary

Objectives

The primary objective is to secure a professional photographer to conduct an official photography session for the Breede-Olifants Catchment Management Agency’s (BOCMA) newly appointed Board and existing Management Team. The commissioned images will serve as the agency’s definitive corporate photographs, intended for widespread use across digital, print, and media channels, including the website, Annual Reports, corporate publications, media releases, social media, and internal presentations. The overarching aim is to project a unified, professional, credible, approachable, and cohesive organisational identity.

Scope

  • Subjects: 26 Board and Management members.
  • Location: Worcester, Western Cape. Sessions will encompass both indoor and outdoor environments, with the precise venue to be determined by BOCMA.
  • Shot Categories: Individual headshots, individual portraits, a collective Board group photograph, and a Management Team group photograph.
  • Turnaround: 14 to 21 working days from the completion of the shoot.
  • Deliverables: High-resolution final images supplied primarily in JPEG format, with alternative formats available upon request. Delivery will occur via digital transfer and a physical memory stick.
  • Post-Production: Professional editing covering lighting and colour correction, retouching, cropping, and posing direction. Edits must maintain a natural appearance and must not materially alter the subjects' facial features or likeness.
  • Copyright & Usage: BOCMA requires full, unrestricted rights to utilise the final images for all official organisational and communication purposes. The photographer is strictly prohibited from publishing or leveraging the images for personal or promotional use without prior written consent. Original RAW files may be supplied upon request, free of watermarks.

Technical Requirements

  • Service providers must deploy professional-grade camera systems, lenses, and controlled lighting setups suitable for indoor corporate environments, along with appropriate backdrops and support equipment.
  • All final outputs must be delivered in high-resolution JPEG format, with other formats accommodated if explicitly requested by BOCMA.
  • Physical delivery must include a dedicated memory stick (USB drive) alongside digital transmission.
  • Quotations must be all-inclusive and explicitly state VAT status, expected turnaround time, copyright/usage terms, any supplementary costs, and applicable conditions.
  • Term Clarification: RAW files refer to unprocessed, uncompressed data captured directly by the camera sensor. They retain maximum detail and dynamic range, allowing for extensive post-production flexibility, though their provision is optional and contingent upon BOCMA's formal request.

Skills Requirements

  • Proven Portfolio: Mandatory submission of a portfolio showcasing extensive experience in corporate or executive photography, with strong preference given to providers who have previously served government departments or public institutions.
  • Subject Direction: Demonstrated ability to efficiently guide diverse groups through positioning, posing, and styling to ensure visual consistency and a cohesive team aesthetic across all shots.
  • Advanced Post-Production: Proficiency in industry-standard editing software to execute natural-looking retouching, colour grading, and composition refinement without distorting appearances or compromising authenticity.
  • Legal & Contractual Competence: Clear understanding of intellectual property rights, image licensing frameworks, and usage agreements to draft compliant quotation terms.
  • Logistical & Project Management: Capacity to coordinate scheduling, manage on-site workflow for 26 subjects across multiple settings, and guarantee delivery within the strict 14–21 working day window.
  • Strategic Advisory: Providers are encouraged to submit actionable recommendations or supplementary techniques that could elevate the overall quality, consistency, and long-term utility of the photographic collection.

Joint Ventures, Consortia and Subcontracting:

Most large tenders are composed of tasks in a number of different fields, and it is not always possible for a single company to cater for all of them, and therefore Joint Ventures and Consortia are formed to then submit a tender together.

Government tenders are also requiring the subcontracting of a percentage of the tender work, and the trouble is then finding Subcontractors to comply with the tender requirements

To assist companies with finding tender partners and subcontractors, you can now submit your contact details and company information on this page, so other interested parties can contact you for purposes of forming Joint Ventures and subcontracting

You will need to supply your details on every tender you are interested in tendering for. For this you need an active Business Listing - Register and Login at My Account to create a Business Listing

NOTE: This is not a tender application form, it is meant to facilitate the meeting of partners to form a Joint Venture or Subcontractor relationship for this tender only
