Objectives

The primary objective of this tender is to appoint a qualified service provider to perform quarterly servicing, maintenance, and repairs of the HVAC Roof Top Units (RTUs) at the National Museum in Bloemfontein over a period of 60 months (5 years). The aim is to ensure optimal operation, longevity, and cost-efficiency of the HVAC system, which includes seven roof packaged units, humidifiers, diffusers, fire dampers, and modulating dampers.

Scope

The scope encompasses:

• Quarterly servicing and maintenance of the seven roof packaged units, humidifiers, diffusers, fire dampers, and dampers.
• Inspection, cleaning, and replacement of filters and coils.
• Electrical and operational checks, including safety and vibration assessments.
• Repairs and repairs as required, including parts replacement with spares provided by the service provider.
• Adherence to the detailed maintenance schedule outlined in Schedule A, covering specific inspections and operational checks for each component.
• Provision of minor and major services over the 60-month period, with hours capped at 16 hours per service.

Technical Requirements

The technical requirements include:

• Provision of services for all specified HVAC units, humidifiers, diffusers, fire dampers, and associated components.
• Adherence to the detailed quarterly maintenance schedule, including inspection, cleaning, testing, and recording operational parameters.
• Use of qualified personnel, including a Service Engineer (Pr. Mechanical Engineer) and HVAC Trade Test Technician.
• Compliance with safety standards, including a Safe Operating Procedure for working at heights and relevant occupational health and safety regulations.
• Provision of necessary spares, consumables, and tools to perform maintenance tasks.
• Completion of all maintenance activities within the capped 16 hours per service session.

Skills Requirements

The successful bidder must demonstrate:

• Experience in servicing HVAC systems, supported by at least three recent reference letters.
• Minimum of 5 years’ experience for the Service Engineer, with relevant qualifications such as a Mechanical Engineering degree (ECSA registered), Trade Test Electrician (Red Seal), and HVAC Trade Test (Merseta or SAQCC/SARACCA accredited).
• Capability to carry out detailed inspections, troubleshooting, repairs, and preventive maintenance on rooftop HVAC units and associated components.
• Ability to provide qualified and experienced personnel with the necessary certifications and expertise.
• Compliance with health and safety standards, including the ability to prepare and adhere to Safe Operating Procedures.
• Proven capacity to deliver services within the specified timeframes and hours, with proper documentation and reporting.
