Objectives

The primary objective of this tender is to supply and deliver vehicle spares for the Coastal Vehicle Workshop operated by uMngeni-uThukela Water over a period of 3 years. The aim is to ensure the workshop is adequately stocked with quality spares to support vehicle maintenance and repairs, thereby enhancing operational efficiency and service delivery.

Scope

The scope includes the procurement, supply, and delivery of vehicle spares for various vehicle categories including light duty, heavy duty, mobile plant, and special plant (generators). The contract covers a comprehensive list of spare parts for different vehicle makes and models, with specified quantities and specifications, to be supplied on an ad-hoc basis over three years. The contract also encompasses the supply of spare parts for generators and other special plant equipment, with provisions for periodic delivery as required.

The scope further involves adherence to technical specifications, quality standards (such as SABS approval), and the signing of a Service Level Agreement (SLA). The supplier must also comply with safety, health, and environmental requirements, including insurance and confidentiality obligations.

Technical Requirements

• Supply of vehicle spares that meet specified standards (e.g., SABS approved).
• Provision of spares for various vehicle types including light duty, heavy duty, 4x4, and special plant, with detailed specifications per model.
• Delivery of spares on an as-and-when-required basis over the contract period.
• Compliance with quality, safety, and health regulations, including the Occupational Health and Safety Act.
• Provision of warranties for supplied goods (minimum 12 months).
• Adherence to specified pricing, packaging, and documentation standards.
• Participation in inspections, tests, and analyses as required by the purchaser.
• Implementation of a Service Level Agreement covering performance standards and response times.

Skills and Competency Requirements

• Proven experience in supplying vehicle spares, supported by reference contracts and letters.
• Demonstrated technical capability to supply a wide range of vehicle parts across multiple models and brands.
• Knowledge of relevant standards (e.g., SABS) and quality assurance processes.
• Capacity to deliver goods reliably and on time, with adequate logistics and supply chain management skills.
• Compliance with health, safety, and environmental regulations, including occupational health and safety standards.
• Financial stability and capacity to support contract requirements, including insurance and warranty obligations.
• Ability to participate in inspections, testing, and quality control processes.
• Experience in managing contractual obligations, including confidentiality, intellectual property rights, and dispute resolution.
