The scope of work includes:

1. Licensing Procurement

  • Server licensing:
    • Latest Datacentre Operating System – 8 Core License x 8
    • Compatibility with NTFS, ReFS, GUI, and dedicated IT support
  • Client Access Licenses for 235 users
  • Desktop Office Applications:
    • Microsoft 365 or equivalent for 235 users, including features like advanced identity management, cloud storage, online meetings, AI chat, and enterprise protection
    • Desktop Office applications for planning (20 users)
    • Diagramming and visualization applications for 10 users

2. Configuration and Implementation

  • One-off configuration and deployment of licenses across the municipality’s IT infrastructure.
  • Assignment of licenses to user accounts.
  • Configuration of Planner and Project Plan 3 for 20 designated users.

3. Support and Maintenance

  • Monthly support and maintenance services for licenses and configurations.
  • Monitoring license usage and managing renewals.

4. Skills Transfer

Transfer of skills to 5 ICT officials to ensure ongoing management and support.

Technical Requirements

  • Provision of licenses compatible with existing infrastructure, including server OS and client access licenses.
  • Deployment of desktop office applications with collaboration, security, and AI features.
  • Migration of hybrid email to cloud-based hosting.
  • Configuration of licenses and applications for all users and designated departments.
  • Provision of support and maintenance services on a monthly basis.
  • Skills transfer to designated ICT staff.
