Objectives

The primary objective of this tender is to appoint Travel Management Company(ies) (TMCs) to provide comprehensive travel, accommodation, conference, venue, and car hire management services for a period of 36 months. The goal is to ensure efficient, reliable, and cost-effective management of all travel-related services for the client, including related ancillary services, with a focus on quality, compliance, and seamless coordination.

Scope

The scope of the tender encompasses:

• Provision of travel management services for international, regional, and domestic travel arrangements.
• Management of accommodation bookings across various regions and categories.
• Organization and management of conferences, including venue arrangements and related logistics.
• Car hire and vehicle management services, including booking, coordination, and logistics.
• Provision of related services such as visa assistance, courier services, and ancillary support.
• Management of reports, reconciliation, and administrative documentation related to travel and accommodation services.
• Implementation over a 36-month period with options for renewal or extension based on performance.

Technical Requirements

The technical requirements specify that the appointed TMC(s) must:

• Demonstrate proven experience in managing comprehensive travel and related services for similar clients or projects.
• Provide a detailed technical proposal outlining the approach, methodology, and operational plan for delivering the services.
• Ensure compliance with applicable regulations, standards, and client policies.
• Utilize appropriate technology platforms for booking, reporting, and communication.
• Offer dedicated account management and customer support services.
• Provide timely and accurate reporting, including reconciliation, invoicing, and performance metrics.
• Adhere to specified timelines and service level agreements (SLAs).
• Ensure confidentiality, data security, and compliance with relevant data protection standards.
• Be capable of managing multiple service components simultaneously and coordinating with various stakeholders.
