Objectives

The primary objectives of the tender are to select a service provider to manage the Metro FM Music Awards 2026, including event management, production, and live TV broadcast, over a period of three years. The event aims to recognize and support local artists, celebrate South African music talent, promote tourism in KwaZulu Natal, and contribute to local economic growth and SMME development. The awards will also serve to enhance brand equity for Metro FM and foster community engagement through skills transfer initiatives.

Scope

The scope encompasses comprehensive event logistics, production management, and live TV broadcast services for the Metro FM Music Awards 2026, scheduled to take place in Durban. Key activities include:

• Development of event concepts and themes
• Venue booking, set-up, décor, and catering
• Guest management, invitations, RSVP, and registration systems
• Accommodation and transportation arrangements for guests and talent
• Security planning and management
• Technical production, including stage design, lighting, sound, and video
• Outside broadcast (OB) services and live TV production, including Black Carpet, main show, and backstage coverage
• Coordination of performances, rehearsals, and entertainment logistics
• Skills transfer and capacity building for local communities and SMMEs
• Post-event reporting, budget management, and final evaluation

Technical Requirements

The technical specifications include:

• Development of creative concepts and production plans with visual references
• Design and setup of stage, Black Carpet, and backstage areas to international standards
• Provision of power supply, backup generators, and technical infrastructure
• High-quality live broadcast capabilities with multiple camera angles, graphics, and real-time analytics
• Implementation of branding, sponsor integration, and media assets
• Sound, lighting, and video equipment suitable for large-scale live events
• Management of all technical crew, performers, and event staff
• Compliance with safety, security, and health regulations

Skills Requirements

The successful bidder must demonstrate:

• Extensive experience in managing large-scale national events, especially music awards or similar productions
• Proven track record in live TV broadcast, event logistics, and technical production management
• Strong creative and conceptual skills with innovative stage and broadcast design
• Capability to coordinate multiple stakeholders, including sponsors, artists, security, and local authorities
• Effective skills transfer and capacity building plans for local communities and SMMEs in KwaZulu Natal
• Case studies showcasing previous successful projects of similar scope and complexity
• Financial stability and compliance with BBBEE and other regulatory requirements
