Objectives

The primary objective of this tender is to establish a pre-approved list of service providers through the Durban Regional Office of the Department of Public Works and Infrastructure. The selected providers will coordinate events for the department over a period of 24 months. The tender aims to ensure the procurement of qualified service providers based on a points system that considers price, preference, and specific goals aligned with PPPFA regulations.

Scope

The scope involves the establishment of a panel of service providers capable of coordinating various departmental events. The process includes the evaluation and awarding of tenders to the highest scoring acceptable bids, ensuring compliance with registration and membership requirements. The scope also covers the submission of necessary documentation such as public liability insurance and proof of membership from the Southern Association for Conference Industry.

Technical Requirements

• Registration on the Central Supplier Database is mandatory.
• Submission of a valid Public Liability insurance at the time of closing.
• Proof of membership from the Southern Association for Conference Industry.
• Adherence to the evaluation criteria based on price and preference points (80/20 system as per PPPFA Regulations 2022).
• No site briefing will be held; technical queries should be directed to the Project Manager, Anora Singh.

Skills Requirements

• Ability to coordinate and manage events effectively for a government department.
• Compliance with procurement and registration standards, including registration on the Central Supplier Database.
• Experience in providing conference and event management services, supported by membership in relevant industry associations.
• Understanding of government procurement regulations and scoring criteria.
