Objectives

The primary objective of this tender is to procure travel services for the World Urban Parks Symposium and Awards in Turkey, ensuring efficient and compliant arrangements for international travel, accommodation, and transfers for Johannesburg City Parks and Zoo (JCPZ) representatives.

Scope

The scope includes:

• International flights from OR Tambo to Istanbul, Turkey, for two persons in economy class departing on 06 October 2025 and returning on 11 October 2025.
• Accommodation at a 3-star hotel within walking distance of the conference and fairgrounds in Istanbul, including breakfast.
• Transfers for two persons: airport to hotel and hotel to airport.

The services must be delivered in accordance with the specifications and terms outlined, adhering to COVID-19 restrictions and submission protocols.

Technical Requirements

The technical requirements include:

• Provision of economy class flights for two travelers on specified dates.
• Accommodation at a 3-star hotel with breakfast included.
• Transfers for airport-hotel-airport for both travelers.
• Submission of quotations in sealed envelopes, clearly marked with the reference number and description.
• Compliance with all administrative, regulatory, and mandatory documentation, including municipal statements, COIDA certificate, JV agreements (if applicable), and registration on the Central Supplier Database.
• Adherence to COVID-19 protocols and submission procedures, including submission at designated points and times.

Skills Requirements

The skills and competencies required for bidders include:

• Experience in arranging international travel, accommodation, and transfers for corporate or government clients.
• Knowledge of travel management regulations and compliance standards.
• Ability to provide competitive and cost-effective quotations that meet technical specifications.
• Capacity to manage and coordinate logistics efficiently under COVID-19 restrictions.
• Proficiency in completing and submitting all required documentation accurately and within specified timelines.
• Understanding of procurement policies, preference point systems, and regulatory compliance.
