Objectives

The primary objective of this tender is to procure reputable and qualified service providers to supply and hire a sound system and related equipment for the upcoming Mayoral Cup 2026 event, scheduled for 27 June 2026 at Johannes Phumani Phungula Municipality. The aim is to ensure a comprehensive setup that includes a marquee, seating arrangements, and a sound system to facilitate the event's success.

Scope

The scope of work includes:

• Provision of a framed marquee capable of accommodating 100 VIPs.
• Setup of a lounge area for 20 people.
• Supply of 80 white Tiffany chairs.
• Provision of 10 tables with tablecloths.
• Installation of a stretch tent for officials with 100 plastic chairs.
• Supply and setup of a sound system with two roving microphones.
• Provision of a mobile generator (40 KVA) with distribution box, 50m cables, and sufficient diesel to sustain the event.

Technical Requirements

The technical specifications for the equipment include:

• Framed marquee suitable for 100 VIPs.
• Sound system equipped with two (2) roving microphones.
• Mobile generator (40 KVA) with appropriate distribution box and cables (32 Amp, 50m).
• Provision of sufficient diesel to operate the generator throughout the event.

Skills and Qualification Requirements

Service providers must demonstrate:

• Reputable, qualified, and experienced in event equipment hire, particularly marquees and sound systems.
• Accreditation and registration on the municipal and central supplier databases.
• Ability to provide valid tax clearance or SARS PIN.
• Compliance with all specified technical and specification requirements.
• Provision of all required documentation, including company registration, shareholder certificates, and detailed CSD reports to verify specific goals such as RDP compliance and local enterprise status.
