Objectives

The primary objective of this tender is to appoint an experienced and capable event organizer to host the Umngeni Municipality Youth Day event scheduled for the 16th of June 2026 at Howick West Hall. The event aims to promote youth empowerment, skills development, and community engagement, including selecting 100 young people to attend and participate actively in the event.

Scope

The scope of work includes:

• Planning and organizing the Youth Day event at Howick West Hall.
• Hosting a youth empowerment and skills development program.
• Screening and selecting 100 young attendees for the event.
• Sourcing and paying for finger lunch for 50 guest speakers, municipal and departmental officials.
• Providing local transportation from pickup points in Mevana, Mpophomeni, Zenzani, and Kaarkloof.
• Supplying an adequate sound system capable of catering to approximately 200 people.
• Promoting the event via social media platforms, requiring a following of at least 500,000 followers on Facebook or 100,000 likes on TikTok.

Technical Requirements

The technical requirements for the event include:

• Provision of sound equipment suitable for performances and speeches.
• Arranging local transport for designated pickup points.
• Hosting a screening and selection process for youth attendees.
• Organizing catering services for guest speakers and officials.
• Implementing social media promotion using provided infographics.
• Ensuring the event is accessible, engaging, and aligned with youth empowerment objectives.

Skills Requirements

The successful service provider must demonstrate:

• Experience in event planning and management, particularly youth-focused events.
• Proven ability to organize large-scale community events with logistical efficiency.
• Skills in social media marketing and promotion, with a significant online following (minimum 500,000 followers on Facebook or 100,000 likes on TikTok).
• Capability to source and manage catering, transportation, and technical equipment.
• Strong communication and stakeholder engagement skills.
