Objectives

The primary objective of this quotation is to engage a qualified service provider for the annual maintenance and servicing of medical vacuum pumps at Umphumulo Hospital, operating under the KwaZulu-Natal Department of Health. The goal is to ensure uninterrupted clinical operations through reliable, compliant, and professionally executed equipment servicing.

Scope of Work

The contract covers the comprehensive annual servicing of two (2) medical vacuum pumps, specifically identified as Ingersol Rand Model 15V (Serial No: 6051474). The scope encompasses routine inspections, component replacement, system cleaning, and operational validation. The agreement is structured as a once-off annual service contract requiring detailed cost submissions for materials, labour, and travel.

Technical Requirements

• Perform a thorough visual inspection and document all existing defects.
• Drain existing vacuum pump oil and replenish with fresh compressor oil.
• Replace air filters and inspect drive belts for wear or damage.
• Identify and address oil leaks; verify functionality of safety and non-return valves.
• Inspect all electrical connections, including the motor and control panel.
• Clean vacuum dirt traps to prevent contamination and blockages.
• Submit itemised pricing for compressor oil, air filters, labour, and travel expenses.
• Ensure all procedures and materials comply with recognised South African quality standards (SABS, SANS, SANAS).

Skills and Qualification Requirements

• All servicing must be performed by a qualified artisan or technician holding a valid SAQCC Refrigeration Gas Registration Card, which must be formally registered under the bidding company’s name.
• Bidders must provide proof of valid CIDB registration.
• Mandatory submission of SABS, SANS, SANAS, and SAQCC certificates.
• At least two verifiable trade references demonstrating prior capacity to deliver similar services.
• Active registration and compliance verification on the Central Supplier Database (CSD).
• Submission of a valid B-BBEE status verification certificate or sworn affidavit.
• Written confirmation of strict compliance with the attached technical specification document.
