Objectives

The primary objective of this tender is to appoint a suitably qualified and experienced service provider to render Event Management services for the After Party at MUT 2026. The selected provider will coordinate and manage all aspects of the event to ensure successful execution.

Scope

The scope includes the comprehensive management of the After Party event, which involves:

• Coordination of event activities at the Rugby Sports Field on 30 April 2026 from 18h30 to 22h00.
• Provision of event personnel such as Programme Directors and DJs.
• Arrangement of artists and entertainment acts.
• Setup of event infrastructure including marquees, sound systems, lighting, stage, and furniture.
• Design and production of event posters.
• Ensuring all technical and logistical requirements are met, including structural and electrical certifications.

Technical Requirements

The technical specifications for the event management services include:

• Provision of a detailed event program and coordination of artists and performers.
• Sound system setup with line array speakers (16), subwoofers (10), CDJs, DJ booth, cordless microphones, and monitor speakers.
• Lighting setup including Robe Robin Spider, Wash, Pointe, Roxx, and FOH lighting with a Grand MA3 lighting console.
• Power supply via a 150kVA generator with appropriate distribution and cabling.
• Construction of a 9m x 6m roof stage with decking, PA wings, and structural certifications.
• Design and printing of event posters.

Skills Requirements

The service provider must demonstrate:

• Proven experience in managing large-scale events, particularly similar high-profile functions.
• Technical expertise in sound, lighting, stage setup, and event logistics.
• Ability to coordinate multiple vendors, artists, and technical teams efficiently.
• Compliance with safety standards, including structural and electrical certifications.
• Strong project management and communication skills to ensure timely execution.
