Objectives

The primary objective of this tender is to appoint a qualified service provider to supply, deliver, install, demonstrate, and commission a digital floor stand X-ray machine with a height-adjustable table top at Victoria West Bj Kempen Hospital, under the Northern Cape Department of Health. The successful bidder must ensure the equipment meets technical specifications, integrates with hospital systems, and provides comprehensive training, maintenance, and support to facilitate effective radiographic services.

Scope

The scope includes:

• Supply of a compatible digital floor stand X-ray machine with specified technical features.
• Delivery, installation, and commissioning of the equipment at Victoria West CHC.
• De-installation and disposal of existing equipment where applicable.
• Preparation of the room, including any necessary alterations, prior to installation.
• Provision of manuals, brochures, and training for staff.
• Ensuring the equipment is linked to the hospital’s PACS system and complies with radiation safety regulations.
• Post-installation maintenance, warranty, and upgrade support.

Technical Requirements

The technical specifications encompass:

Generator

• High frequency type with at least 50kW output.
• Maximum mA and kV ranges: ≥50kV, 10–630mA, 40–150kV.
• Electronic timer with minimum exposure time of 0.001 sec.
• Automatic overload protection and mains compensation.
• Independent digital display of kV, mA, and time; programmable with multiple exposure programs.
• Automatic exposure control.

Rotating Anode X-ray Tube

• Matching output of the generator with specified maximum tube kV (≥150kV), mA, anode rotation speed, and heat storage capacity.
• Large focus and small focus options, inherent filtration, and appropriate anode angle for uniform beam coverage.

Table and Bucky System

• Flat, four-way floating top with adjustable height (minimum 150kg capacity).
• Electromechanical height control with foot switches.
• Variable dimensions, lateral and longitudinal movement, and compatibility with trolley and erect Bucky.
• Oscillating secondary radiation grids for Bucky and vertical units.
• Patient mattress and lateral cassette holder included.

Vertical Bucky

• Fitted with oscillating grids, suitable for chest radiography, with electronic locking/unlocking.
• Overhang frame and arm support for erect and seated patient positioning.

Additional Technical Features

• Compatibility with hospital electrical and IT systems, including DICOM conformity.
• Image storage for at least 2 years and linkage to PACS.
• Anti-virus software during warranty and maintenance periods.
• Wireless and wired digital detector with specified active size, resolution, pixel size, and image quality features.

Skills and Skills Requirements

The tender requires bidders to demonstrate:

• Proven experience in supplying and installing similar digital radiography equipment, supported by reference letters and installation records.
• Capability to provide comprehensive training to radiographers and medical physicists, including calibration, maintenance, and repair down to PCB level, with certification of competency upon completion.
• Availability of spare parts for at least ten years, with a detailed maintenance plan covering a minimum of five years post-warranty.
• Technical expertise in configuring, troubleshooting, and maintaining digital X-ray systems and PACS integration.
• Compliance with radiation safety regulations and possession of valid Radiation Control License for the equipment.
• Ability to perform room preparation, modifications, and environmental assessments as per site requirements.
• Capacity to provide ongoing support, upgrades, and software virus removal at no additional cost.

Additionally, bidders must demonstrate their ability to deliver detailed documentation, manuals, and brochures, and support ongoing training and maintenance to ensure optimal operation of the equipment throughout its lifespan.
