Objectives

The primary objective of this tender is to appoint a professional service provider to execute office asset relocation services from the MHSC office in Woodmead to a new office building in Rivonia. The service provider will be responsible for relocating all MHSC assets and documents with minimal operational disruption, ensuring the safety and protection of assets during transit, and providing necessary insurance coverage.

Scope

The scope of work includes:

• Office relocation from Woodmead to Rivonia, approximately 7 km apart.
• Packaging, loading, transportation, and offloading of various assets including printers, safes, appliances, furniture, electronic equipment, and other office items.
• Provision of public liability insurance of at least R500,000.
• Handling of specific assets such as printers, safes, monitors, air conditioners, furniture, and miscellaneous office equipment.
• Responsibility for damages caused during the relocation, including repair or replacement at the service provider’s cost.

Technical Requirements

The technical requirements include:

• Provision of comprehensive relocation services including inventory management, packing, transport, and reinstallation.
• Insurance coverage for assets during transit.
• Adherence to safety and operational standards to minimize disruption.
• Submission of a detailed project plan with timelines and activities.
• Compliance with all relevant health and safety legislation, including the OHS Act 85 of 1993.
• Provision of proof of public liability insurance and tax compliance.

Skills Requirements

The skills and experience required from the service provider include:

• Minimum of five (5) years of experience in office relocation or furniture removal services.
• Ability to provide at least three (3) reference letters from recent clients demonstrating experience in office relocation or furniture removal.
• Capability to develop and execute a detailed project plan with clear timelines.
• Proven track record of handling assets similar in nature and volume to those listed.
• Competence in managing logistics, safety, and operational disruptions effectively.
• Compliance with all legal, safety, and insurance requirements as specified in the tender documentation.
