Objectives

The primary objective of this tender is to appoint a service provider to deliver catering and décor services for the Cape Winelands Passing Out Parade and Pre-season Launch hosted by the Cape Winelands Fire Services. The event aims to showcase the fire services' achievements and launch their Veld Fire Preparedness Campaign.

Scope

The scope of work includes:

• Providing catering services for approximately 210 attendees, including a two-course meal (main course and dessert) served plated.
• Ensuring food safety and compliance with relevant health regulations, including proper food handling, storage, and transportation.
• Providing décor services for the event halls, including chairs and tables arranged for 8 people per table.
• Arranging venue setup, including hall and venue arrangements with the base authorities at Ysterplaat Air Force Base in Cape Town.
• Managing logistical requirements such as timely delivery and setup at the specified date and time (Thursday, 21 November 2025, 07:00 to 13:30).

Technical Requirements

The technical requirements for the tender include:

• Provision of food prepared and served in accordance with the Foodstuffs, Cosmetics, and Disinfectants Act, 1972, and related regulations.
• Food must be kept at temperatures not exceeding specified core temperatures during storage and transport.
• Food handling, preparation, and transport must be conducted on premises with a valid Certificate of Acceptability (COA).
• All food containers and transport vehicles must comply with relevant regulations, including temperature control and hygiene standards.
• Event décor must meet specified standards and be suitable for the event setting.
• All services must be delivered at the specified venue and time, with arrangements made with the base authorities.

Skills Requirements

The successful bidder must demonstrate:

• Experience in catering for large events, with a proven track record of delivering quality food and service.
• Knowledge of food safety standards and regulations, including proper food handling, storage, and transportation.
• Capability to provide event décor services, including setup and arrangement of chairs and tables.
• Ability to coordinate logistics effectively to ensure timely delivery and setup at the event venue.
• Compliance with health and safety standards, including possession of relevant certificates such as the Certificate of Acceptability and, if applicable, a Certificate of Halaal Endorsement.
• Capacity to manage and execute the scope of work within the specified timeframe and budget.
